Confirm what is ready
Production completion is a starting point for the next conversation. Clarify the quantity ready, packing status and any work still outstanding. If goods will move through a warehouse or be consolidated with other orders, identify the parties responsible for each stage.
Connect the relevant parties
Supplier contacts, warehouse teams and freight forwarders may need different information. Share the details relevant to the agreed arrangements and confirm which party will handle each action. Keep the buyer informed of questions that require a commercial decision.
Use loading information carefully
A loading record can help explain what took place at that stage. It should be linked to the relevant order and quantities. Loading preparation, actual loading and delivery remain distinct events, and an update should use the status supported by the information available.
Allow for unresolved coordination
Changes to packing, readiness or partner arrangements may require further discussion. Make those open points visible before presenting a schedule as confirmed. Specific storage, freight and shipment arrangements should be agreed with the parties providing them.
